Accounts & Admin Assistant

Accounting Tasks:-
1. Post and process journal entries to ensure all business transactions are recorded.
2. Update accounts receivable and issue invoices.
3. Update accounts payable and perform reconciliations.
4. Assist in the processing of financial statements according to legal and company accounting and financial guidelines.
5. Vendor/Utility Accounting Management.
6. Assist with reviewing of expenses, payroll records etc. as assigned
7. Update financial data in databases to ensure that information will be accurate and immediately available when needed
8. Prepare and submit daily/weekly/monthly reports
9. Bank reconciliation.
10. Entering the daily Sales report – retail.
11. Preparation of customer Statement of Account.
12. Advance Payment management(using bank facilities – TR/ Bill Discounting / Advance Payment).
13. Scrutiny of ledger accounts.
14. Cheque Preparation / TT – All Payments.
15. Petty Cash reconciliation and booking.
Admin Tasks:-
1. Attending calls and redirecting to the concern, checking email and faxes.
2. Preparing invoices, STN, pick lists, quotations, GRV, GRN, INV, credit note, delivery notes and HO report.
3. Preparing customer wise price lists for all the seasons.
4. Updating master list allocations and stock updates.
5. Checking the invoices, LPO etc.
6. Creating and updating product offer sheets, catalogues category wise
7. Preparing article listing sheets as and when required and emailing to the customers.
8. Daily sales report submission and maintaining pending invoice list
9. Preparing delivery notes if required
10. Receiving all GRVs from ware house Admin and ensuring invoices list (Preparing credit notes for cancelled invoices).
Requirements:-
• Bachelors Degree in Commerce or equivalent.
• Knowledge and experience of relevant software applications – spreadsheets, word processing, database management and familiar with relevant computer software (e.g. Tally, Focus etc)
• Knowledge of administrative and accounting practices.
• Good Understanding of VAT in UAE (Rules & regulations, Controls, VAT returns etc)
• Required typing speed.
• Proficient in spelling, punctuation, grammar and other English language skills.
